Processing of Personal Data
The collected data is stored in the hotel's information systems, which are encrypted and protected with passwords. Only authorized personnel have access to this data. For example, the hotel’s kitchen chef cannot view guest address details, etc. It is the guest's responsibility to provide correct information for the travel notification in accordance with the law. The hotel stores the information in its system as mentioned above. During the check-in process (the so-called "Check-In"), which takes place on the hotel's tablet, the data is saved in the hotel's system.
The hotel collects personal data primarily due to the legal requirement for the travel notification. The following information is collected in the travel notification: first name, last name, address, date of birth, the last part of the personal identification number (for foreign guests, the passport number), email address, phone number, and a photograph. In addition to the main guest, the first name, last name, date of birth, and the last part of the personal identification number are collected for those staying in the same room with the main guest.
In addition to accommodation, the hotel offers services such as sauna and meeting room rentals, and for these services, reservation information is collected about the bookers. If the booker is a private individual, the hotel reserves the right to collect the above-mentioned information. If the booker is a company or an association, data is collected to verify the financial stability and payment capacity of the organization.
The hotel reserves the right to check the payment and creditworthiness of the booker through the customer database if there are reasons to suspect issues with payment capacity. For pre-paid bookings, this check is not conducted. These payment and creditworthiness details are not stored in the hotel’s system.
The hotel’s staff working at the reception or in similar positions, where data processing is necessary for the performance of their duties, has access to customer data. In addition to the hotel staff, external service providers may have access to the data if necessary for support or maintenance purposes, in cases where they may need to go through the software. Customer data is always viewed in the presence of the hotel staff to ensure that the data cannot be copied or misused.
Data is retained for the legally required period of 12 months, after which it is deleted from the system, unless the customer requests that their data remain stored, for example, as part of a loyalty program or for another valid reason. The hotel uses several information systems for different types of data. Data is distributed across services from different providers, such as the Hotellinx hotel system, the Finlandia Hotel loyalty system, and the Check-In application.
The customer has the right to request a review of their personal data if desired. To request a data review, send a request to parkhotel@park.fi. The response time to data requests may be between 2 and 14 days. Customer data will not be provided unless the customer’s identity has been verified before the request.
